Important Messages Message Date: 4/10/2024 2025 DUES DOCUMENTATION FORM We emailed all Valley secretaries the 2025 Dues Documentation Form the first week in April. The purpose of this form is to collect the information that Valleys want printed on their annual dues statements. If a Valley did not receive this email, please contact SentinelSupport@scottishrite.org. Your Sentinel Team Message Date: 2/1/2024 2023 ANNUAL REPORT The 2023 procesing year ended January 31 at midnight, Eastern Time. This means that during the next week or so the three sections of the Annual Report will be delivered to all Valleys via Sentinel. Once the reports are completed, each Valley user will be able to view their 2023 reports in Sentinel by going to the People tab and selecting Supreme Council Reports from the dropdown menu. Best regards, Your Sentinel Team Message Date: 1/3/2024 IMPORTANT DEADLINES AND INSTRUCTIONS FOR SUBMITTING YEAREND STATUS CHANGES On December 20, 2023, we emailed each Valley secretary detailed instructions for submitting yearend suspensions and other status changes. The deadline for submitting status changes via Sentinel is January 15. This gives your Active or Deputy until January 25 to review your suspensions and either deny or approve them. PLEASE NOTE:As stated above, more detailed instructions were emailed earlier. If you did not receive these instructions, please notify Computer Services at sccs@scottishrite.org. Supreme Council Computer Services Message Date: 11/2/2023 NOVEMBER MEMBERSHIP RENEWAL DUES NOTICES The print file for the November follow-up dues notices will go to the printing company on Monday, November 6. These renewal notices are tentatively scheduled to go out to unpaid members only on or about November 17. Please be sure to enter payments already received so that your members do not get a reminder notice. Thank you! Supreme Council Computer Services Message Date: 11/2/2023 SENTINEL DOWNTIME ON THURSDAY, NOVEMBER 9 Sentinel is scheduled to be offline next Thursday from 9am to approximately 11am while the server equipment is being relocated. This downtime is the direct result of ongoing renovations to the House of the Temple. We regret this interruption in service and will work to make it as brief as possible. Supreme Council Computer Services Message Date: 6/28/2023 THE 2024 MEMBERSHIP DUES FILE HAS BEEN DELIVERED TO THE PRINTER Computer Services has delivered the 2024 membership renewal file to the printer for processing of the 2024 dues notices. Because the processing will include the printing of the plastic membership cards by a second vendor, the entire process of printing, coordinating cards and notices, and mailing can take four to six weeks. As in the past, members who only owe for 2024 will receive a 2024 card along with the renewal notice. We will send the cards to the Valley for members with a past-due balance. Message Date: 6/26/2023 YEAR 2024 HAS BEEN ADDED TO SENTINEL-PLEASE SPOT-CHECK MEMBER DUES RECORDS The rollover of dues to the 2024 balance due is complete as reported on your annual Dues Documentation Form. Please spot-check your member records. If you find a discrepancy, contact Computer Services at sccs@scottishrite.org. Supreme Council Computer Services Message Date: 6/21/2023 MEMBERSHIP RENEWAL NOTICE SCHEDULE The annual "Rollover" of dues is scheduled for Sunday, June 25. If all goes according to plan, the 2024 balances will be inserted into all dues-paying member records on that date. Once we have confirmed that the process was a success, we will process the auto renewals. The final step will be to create and upload the file to the printer that is due to them on Tuesday, June 27. Best regards, Supreme Council Computer Services Message Date: 6/14/2023 WE URGENTLY NEED YOUR 2024 MEMBERSHIP RENEWAL INSTRUCTIONS To: The Secretaries of the Valleys listed below The instructions to complete the 2024 Dues Documentation Forms that allow us to accurately print your 2024 membership renewal notices have been mailed three times over the past two months to the email address listed in Sentinel as the Valley official address. The email contains a link to a form you need to complete and submit as soon as possible, as we will be inserting the 2024 balance due into Sentinel for your members next week. As of today, the following Valleys have not submitted a form that was due on May 14. Unfortunately, if we do not get your information, we will be forced to use last year's information to print your notices. This includes the dues amount, special dues amounts, return address, and Valley phone number. If your Valley name is on this list, please submit your form or contact sccs@scottishrite.org. Supreme Council Computer Services Message Date: 6/9/2023 2024 DUES DOCUMENTATION FORM Computer Services sent out a third notice on June 8 to the 25-plus Valleys that have not submitted the form that was due May 14. We are sending these requests to the email address recorded in Sentinel on the Valley Details page. If this email is incorrect, and your Valley secretary is not receiving the requests, please notify Computer Services at sccs@scottishrite.org so that we may send you the link to complete the form. We need this information to insert the 2024 dues balances in Sentinel and to print your 2024 renewal notices. The annual "rollover" of dues balances was set for June 15. If you have not submitted your form and have not let us know when we will receive your form, please contact Computer Services at the email given in this message. It is very important that we receive your form to ensure your Valleys renewal notices are printed correctly, and that the payments are returned to the correct address. Thank you! Your Sentinel Team Message Date: 5/9/2023 MAINTENANCE TO DUES PAYMENTS AND THE VALLEY DETAILS PAGE Maintenance performed on or about May 2 has caused dues payments not to display properly in Sentinel. The payments are stored in the system, so this is a display issue only, and we expect it to be resolved soon. Also, there is an issue with the Valley Details page causing it to display an error message when saving entries to the page. We expect this issue to be resolved soon as well. Supreme Council Computer Services Message Date: 4/6/2023 A FEW ANNOUNCEMENTS FOR APRIL 2023 First: There is a revised version of the House of the Temple Staff, Programs, and Services document in the Document Library in Sentinel. Second: Computer Services has received multiple inquiries on when the Valleys will receive the annual Dues Documentation Form used to prepare for the 2024 dues year. Supreme Council Computer Services Message Date: 1/31/2023 PER-CAPITA ASSESSMENT AND 2022 ANNUAL REPORT The 2022 statistical processing year will end at midnight tonight, EST, January 31, 2023. The 100% per-capita assessment will be calculated on the year-ending totals minus any of the usual exemptions (Grand Cross, Emeritus, A&D, Seniors). Computer Services will begin processing the 2022 Annual Reports on February 1. It may take up to ten days to complete the reports. Updates will be posted here. Supreme Council Computer Services Message Date: 1/25/2023 SENTINEL OFFLINE FOR A SHORT TIME ON THURSDAY, JANUARY 26, 2023 Due to renovations in the House of the Temple, Sentinel will be offline beginning at noon, EST. We expect the system to be down approximately one hour. We regret the short notice and any inconvenience. This program started in 2021 with the purpose of informing and training Valley leadership and staff, as well as improving the operations of our Valleys in the Scottish Rite, Southern Jurisdiction, USA. Who Should Attend? We ask that all Valley Secretaries, Office staff, Personal Representatives, and Valley Treasurers attend at least one of these workshops. Additionally, we ask that you please share this information with anyone you deem an essential part of your leadership. When Are They? If you experience any issues with it, please contact Computer Services at sccs@scottishrite.org Your Sentinel Team Message Date: 12/5/2022 2022 YEAREND DEADLINES As we approach the end of 2022, please keep these processes and important dates in mind. 1. Use Sentinel to submit end-of-year suspensions and other losses by January 15, 2022. This will give your SGIG or Deputy ample time to review them before we close the books on January 31, 2023. 2. During January, use an effective date of 12/31/2022 or earlier when reporting end-of-year losses. Please do not submit status changes during January with a 2023 effective date unless you are reporting a death. Reporting suspensions with a 2023 effective date would make these members subject to the 2022 per-capita assessment. 3. Report new senior member per-capita exemptions on Form 80 no later than January 15. Remember! To be eligible for senior per-capita exemption, a member must be 80 years or older and in financial need or a 50-year member and in financial need. Thank you! Supreme Council Computer Services Message Date: 11/30/2022 Computer Services is in the process of upgrading the email service for the House of the Temple staff. As a result, the email blast feature in Sentinel is currently offline while we make this transition. We will post a notice here when this feature is back up and running. Your Sentinel Team Message Date: 10/26/2022 2022 PER-CAPITA 90% INVOICE AND NOVEMBER FOLLOW-UP DUES REMINDERS The 90% per-capita invoices will be available in Sentinel on or about November 1. The dues file for the November follow-up dues reminders will be sent to the printer on November 4. The reminders will go out to unpaid members only and are scheduled to all be mailed by November 16. Your Sentinel Team Message Date: 6/24/2022 AUTO RENEWAL CREDIT CARDS DEBITED FOR 2023 DUES On Thursday afternoon, June 23, the credit cards for members enrolled in automatic membership renewal were debited. Message Date: 6/15/2022 INSERTION OF 2023 DUES BALANCES IN SENTINEL The conversion or “rollover” of dues to the 2023 balances is scheduled for this Thursday, June 16. As soon as the rollover is confirmed correct, we will debit the credit cards for members enrolled in automatic dues payments, and all others may begin paying 2023 dues online. Message Date: 5/31/2022 ROLLOVER to 2023 DUES YEAR The insertion of the 2023 balance due amount into each member record will occur on or about June 15, as we are still reviewing the JotForm Dues Documentation Forms submitted by each Valley. We hope that you found it beneficial. As a follow up, we have placed an instructional document from the event in the Document Library. On the Document Type menu choose Unified Valley Billing System. The document is called 2023 PowerPoint with Processing Schedule. We recommend that everyone review this short document as we get ready for the 2023 Dues Billing Cycle. As Sovereign Grand Commanders, we stand united in strongly encouraging our members, wheresoever dispersed, to once again partake of opportunities to meet with their Brethren. We emphasize that the doors of every Valley in both of our jurisdictions are open to Scottish Rite members in good standing, regardless of their jurisdictional affiliation. Our fraternity thrives on a longstanding tradition of reciprocal travel and visitation.
